JOB TITLE: Executive Assistant
JOB PURPOSE
The purpose of this position is to provide assistance to Board Members; and is often trusted with complex duties and sensitive information. You will be responsible for scheduling meetings, managing calendars, taking minutes during sessions, maintaining databases and producing reports or presentations for their executive leadership.
We are looking to engage an Executive Assistant. The ideal candidate must be organized, discrete, proactive and a problem-solver who is able to manage multiple competing demands and changing schedules to help CEO and Board Members to be more efficient and effective in leading and expanding operations for business growth.
EDUCATIONAL QUALIFICATION
- Minimum Three (3) years working experience in related field
- Minimum of a First Degree in any related field
COMPETENCIES
- Strong secretarial and administrative skills, including excellent verbal and written communication
- Ability to handle sensitive situations and confidential information with discretion
- Ability to prioritize, organize and effectively manage work load to meet deadlines
- Firm foundation of interpersonal skills – mature, responsible, assertive attitude
- Strong organizational skills and ability to multitask
- Ability to act as gatekeeper and escalate relevant information to executives as needed
- Time management skills and ability to meet deadlines
- Ability to communicate and relate with C-Suite executives
- Ability to establish priorities, maintain confidentiality and work under pressure
- Strong working knowledge of Microsoft Office Suite skills; advance skills preferred
DUTIES
- Act as the primary point of contact among board executives and other external partners
- Responsible for scheduling and successful organization of board meetings
- Manage information flow between all stakeholders in a timely and accurate manner
- Manage board members’ calendar, schedule meetings, take minutes, distribute reports and action notes, follow up on meeting outcomes and next steps.
- Lead and execute new project initiatives
- Assist with ongoing projects and processes
- Plan and support board members’ priority corporate activities
- Provide strategic counsel and support on major company decisions
- Resolve issues and troubleshoot variety of solutions relating to the Board
- Liaise with teams across the organization on effective delivery of projects as they come up
- Plan and organize corporate events
- Develop and / lead corporate presentations as may be required
- Other duties and special projects as assigned
