To provide executive, administrative, and development support to the Head: ISA as well as the executive leadership team. The Executive Assistant serves as the primary point of contact for Internal and external stakeholders on all matters pertaining to the Head: ISA.
Providing quality and timely administrative support to Head: Infrastructure South Africa
Maintaining and coordinating an effective calendar and filing system, ensuring the Head: ISA’s competing demands are effectively managed.
Providing support to the Senior Leadership team as required.
Proactively managing correspondence, both emails and letters received. This includes preparation of responses and briefing notes as required, keeping the Head: ISA updated.
Maintaining and reporting on a current log of correspondence and commitments and chase up items approaching the due date.
Producing quality documents and managing the Head: ISA’s record keeping of received and distributed correspondence
Co-ordinating relevant staff responses and/or input into projects, programs, reports, correspondence and corporate issues.
Supporting the Head: ISA by proactively responding to enquiries from internal and external stakeholders with a high level of discretion, maturity, diplomacy and judgement ensuring exceptional customer experience.
Maintaining a high level of awareness of matters coming into and out of the Head of Infrastructure South Africa’s office to effectively respond to enquiries and exercise sound judgement on the manner of response.
Supporting the Head: ISA in the preparing, reviewing and approving of governance meetings’ reports, including monitoring the implementation of decisions
Preparing agendas and minutes of various internal and external meetings convened or attended by the Head: ISA and following up on matters arising at such meetings on behalf of the Head: ISA
At least 10 years professional work experience
Ability to work independently and with professional discretion.
Excellent writing, editing, grammatical, organisational, and research skills.
Executive Authorities, senior private sector stakeholders others.
Excellent management, time-management, and problem-solving skills
Knowledge and understanding of national legislation, which includes (but not limited to) the Infrastructure Development Act, the Public Finance Management Act, Municipal Finance Management Act, Intergovernmental Relations Act
Public sector experience would be an added advantage
