Senior Institute Administrative Officer at University of the Witwatersrand

The Wits Mining Institute is seeking a suitably qualified and experienced person to fill the position of Senior Administrative Officer (AD09). The position is externally grant-funded on a fixed-period basis for a period of three years. The successful applicant will report to the Director of the Wits Mining Institute and will deal with student, project and administrative support, including bookkeeping. He/she will be responsible for: – Space, administration and project management; – Financial administration and bookkeeping in the Institute; – Managing the research administrative functions of the Institute, including: o Administration of post-doctoral staff; o Administration of postgraduate students (Masters and PhD students) regarding applications, registration, queries, interviews and submission of final documentation to the Faculty for examination; o Financial administration of short courses, including invoicing and follow up on outstanding payments; o Checking test and examination marks captured on AM/WAMS by the School’s academic staff; o Collating all publications and entering required information on the system; o Manage visiting staff contracts; o Assisting with research–related travel arrangements for staff and students; o Document management (filing system). – Secretarial functions for the Institute’s committees by preparing the agenda, and taking and distributing minutes of the meetings; – Donor liaison and financial reporting on complex research projects. Requirements: Five years’ relevant work related experience. Proven track record of administering complex projects. Minimum of a Matric qualification with three years’ experience in Wits systems; Fully skilled in computer packages (word processing, spreadsheets, MS Outlook, Oracle, AM/WAMS and SIMS). Competence in the University’s accounting system is essential. The person must have excellent interpersonal and communication skills and have the ability to work independently and under pressure at peak times. Meeting deadlines is imperative.
