Accounting Assistant at Women Leaders Network for Development (RFLD)

Job Description

• The Accounting Assistant will support the Finance Officer in the day-to-day management of accounting and financial operations at RFLD’s Ghana regional office.

Key Responsibilities

Daily Accounting Operations

• Record all financial transactions in the accounting system using designated accounting software
• Process supplier invoices and prepare payments through the accounting system
• Manage petty cash and perform daily reconciliations
• Conduct monthly bank reconciliations using accounting software tools
• File and archive financial documents according to procedures
• Ensure accurate coding of transactions by project and budget line in the system
• Generate daily, weekly, and monthly transaction reports from accounting software

Administrative Management

• Prepare payment orders and track their execution in the system
• Manage relationships with local suppliers and maintain vendor records in the software
• Monitor contracts and financial commitments
• Maintain up-to-date supplier and partner files in the accounting database
• Prepare payment documentation for approval
• Process expense reimbursements and staff advances

Reporting Support

• Collect and compile financial data for monthly reports using accounting software
• Prepare supporting documents for donor reports
• Assist in preparing project budgets using templates and software tools
• Contribute to documentation for audits
• Generate financial reports from accounting systems (balance sheets, income statements, budget vs. actual reports)
• Extract and format data for management review

Compliance and Taxation

• Prepare monthly tax declarations (VAT, PAYE) using accounting software
• Ensure compliance with fiscal and social deadlines (GRA, SSNIT)
• Maintain up-to-date compliance registers in the system
• Collect and organize supporting documents
• Assist with statutory returns and filings
• Track tax payment deadlines and ensure timely submissions

Project Support

• Track expenditures by project and budget line using project accounting modules
• Alert on budget variances identified through system reports
• Prepare fund requests for projects
• Archive project financial documentation
• Support budget monitoring and burn rate analysis
• Maintain project financial records in compliance with donor requirements

Qualification Required & Experience

Education

• University degree (Bachelor’s Degree minimum) in Accounting, Finance, Business Administration, or related field
ACCA (partial level), ICA Ghana, or professional accounting training is an asset

Experience

• Minimum 2-3 years of experience in accounting, ideally in an NGO or international organization
• MANDATORY: Minimum 2 years of hands-on experience using accounting software in a professional environment
• Experience managing multi-project transactions
• Knowledge of international donor financial procedures (asset)
• Demonstrated experience in data entry, transaction processing, and report generation using accounting software systems

Technical Skills – REQUIRED

Accounting Software Proficiency (MANDATORY):

• Must have practical working knowledge of at least one major accounting software system (QuickBooks, SAGE, Tally, Xero, Zoho Books, Wave, or similar)

Ability to perform the following tasks in accounting software:

• Record journal entries and post transactions
• Process accounts payable and receivable
• Generate financial reports (trial balance, P&L, balance sheet)
• Conduct bank reconciliations using software reconciliation tools
• Set up and maintain chart of accounts
• Process multi-currency transactions
• Generate budget vs. actual reports
• Extract and export data for analysis
• Candidates must specify which accounting software they have used and for how long in their CV

Other Technical Skills:

• Good knowledge of basic accounting principles (double-entry bookkeeping, accrual accounting)
• Practical knowledge of Ghanaian tax regulations (VAT, PAYE, corporate taxes)
• Good command of MS Office, particularly Excel (formulas, pivot tables, data sorting)
• Ability to use electronic document management systems
• Understanding of donor compliance requirements (asset)
• Willingness to learn new accounting software if required
